Position Overview

We are looking for a highly organized and bilingual Service Coordinator / Service Dispatcher to help structure and manage our growing service department. This role will be responsible for coordinating service activities, organizing service information, supporting quotations, and helping implement systems and processes that allow the department to scale efficiently.

Our service business is expanding quickly, and we need someone who can bring strong organization, communication, and operational support to help manage and structure the department.

Key Responsibilities

Coordinate and schedule service calls and technician visits
Act as a communication link between customers, technicians, and internal teams
Organize and maintain service records, reports, and documentation
Track service activities and maintain accurate service information
Assist with preparation of service quotations and follow-up with customers
Support the organization and improvement of service department processes
Lead or support the implementation of a service management software system (currently not in place) to improve scheduling, documentation, and service tracking
Help design and organize internal workflows for service operations
Ensure proper documentation and information management related to safety and compliance requirements
Support requirements related to Process Safety Management (PSM)
Required Qualifications

Bilingual: Spanish and English (written and spoken)
Strong organizational and administrative skills
Ability to manage multiple tasks and priorities
Excellent communication and coordination skills
Comfortable working remotely and managing digital information
Preferred Qualifications

Experience in service coordination, dispatching, operations, or project coordination
Experience in industrial, mechanical, refrigeration, or technical service environments
Experience implementing or managing service management software, CRM systems, or project management tools
Experience supporting service teams or field technicians
Project management or operations coordination experience
Certification (Preferred but Not Required)

The candidate should be willing to obtain the PSM / RMP certification from IIAR during employment.

Certification details:

IIAR Certificate course. Not mandatory but must be obtain withing a year.
